QuoteWerks QuoteValet

Creating a professional quote is only half the battle. Once a proposal is ready, businesses still need an efficient way to get it in front of the customer, provide interactivity, collect feedback, secure approval, and move the deal forward. That’s where QuoteWerks QuoteValet comes in.

QuoteValet is a web-based service that works alongside QuoteWerks to give customers an interactive way to review, approve, and respond to quotes online. Instead of relying on email attachments, printed proposals, or back-and-forth conversations, QuoteValet provides a centralized experience where customers can view quote details, accept or decline a proposal, and complete other actions depending on how the quote is configured.

In this email, we’ll take a closer look at QuoteValet, including what it does, how it fits into the QuoteWerks quoting process, and the features that can make quote delivery and customer approval more efficient.

Whether you’re new to QuoteValet or already using QuoteWerks and want to get more out of its online quoting capabilities, this guide will give you a practical overview of how QuoteValet works and how it can fit into your sales workflow.

Digital Delivery

QuoteWerks QuoteValet simplifies quote delivery by allowing businesses to send customers a link to an interactive online quote instead of relying solely on PDF email attachments.

Once a quote is created in QuoteWerks, it can be published to QuoteValet and emailed to the customer. The customer can then view the proposal online, review pricing and product details, and take action by accepting or declining the quote or using other available features.

QuoteValet also helps sales teams track quote activity and monitor customer responses, making follow-ups easier and more efficient.

The benefit: QuoteValet turns quote delivery into a streamlined digital process, helping businesses reduce administrative work, speed up approvals, and provide a more convenient customer experience.

Enhanced Tracking

QuoteWerks QuoteValet makes it easy to track customer activity and monitor how customers interact with your quotes. You can see when a customer opens a quote, how often they view it, and whether they make changes, ask questions, or leave comments. QuoteValet will also notify you via email when a customer views or accepts a quote or makes a payment. Automatic reminders can be configured to follow up on quotes that haven't been viewed or are approaching expiration.

To review customer activity, open the quote in QuoteWerks and navigate to the QuoteValet tab in the Quote Workbook. From there, you can check the quote's status and review available activity details. By monitoring this information, your sales team can identify interested prospects, respond to questions promptly, and follow up at the right time to help move deals forward.

Additionally you can use the QuoteValet Dashboard and QuoteValet insight to report on activity and stay up to date on customer's interactions with your quotes.

Optional Items

One of QuoteValet's useful features is the ability to let customers customize a quote by selecting the optional products or services they want. Instead of creating multiple quotes for different configurations, you can include optional items in the original proposal and allow customers to choose what best meets their needs.

Optional items are configured in QuoteWerks using Line Attributes. You can mark an item as optional so it appears on the quote but is excluded from the total unless the customer selects it. You can also preselect recommended items or create mutually exclusive options, such as different warranty levels, so customers can choose one option from a group. QuoteValet automatically updates the quote total, including applicable taxes and shipping, as selections change.

For example, a quote for a computer system could include optional extended warranties, accessories, or installation services. The customer can select the extras they need and see the price adjust accordingly, reducing the need for back-and-forth emails and revised quotes.

The benefit: Optional items give customers greater flexibility, help businesses showcase additional products and services, and can create opportunities to increase sales while making the buying process easier.

Quantity Changeable Items

QuoteValet allows customers to change the quantity of selected items directly within an online quote, without requiring the sales representative to create and send a revised proposal. This feature is especially useful when customers need to adjust the number of products or services they want to purchase.

To enable this feature, open the quote in QuoteWerks, select the relevant line item, and access Edit Line Attributes. Set Allow QV Qty Change to Yes for each item the customer should be able to modify. Once the quote is uploaded to QuoteValet, customers can adjust those quantities online, and the quote totals can be recalculated to reflect their changes. Linked quantities, such as services associated with a product, can also adjust accordingly.

Complete Customization

One of the advantages of QuoteWerks QuoteValet is the ability to customize quote templates to match your company's branding and create a professional, consistent customer experience. You can add your company logo, update company details, change colors and fonts, and customize the layout to display the information most relevant to your customers.

QuoteValet also supports different template types for customer-facing quotes, email notifications, approval requests, and acceptance confirmations. Businesses can create multiple templates to suit different needs, choosing which information to display and which fields customers can interact with.

To customize a template, navigate to Setup → Options → QuoteValet → Templates in QuoteWerks. Basic branding changes can be made through the setup options, while more advanced customizations require editing the template's HTML and CSS. Since advanced changes require web design knowledge, it's recommended to back up existing templates and preview your changes before putting them into use.

The benefit: Customizable templates let you deliver quotes that reflect your brand, present information clearly, and provide a more polished and consistent experience for your customers.

Summary

QuoteWerks QuoteValet transforms traditional quoting into an interactive digital experience that simplifies quote delivery, improves customer engagement, and helps businesses close deals faster. With features such as customer activity tracking, automated notifications and reminders, optional items, adjustable quantities, and customizable templates, QuoteValet gives customers greater flexibility while reducing administrative work for sales teams. By streamlining the process from quote delivery to customer approval, QuoteValet helps businesses provide a more professional buying experience, improve sales efficiency, and uncover additional sales opportunities. QuoteWerks line types are more than formatting tools. They are building blocks for creating smarter, more readable, and more accurate quotes.

Start with Product/Service lines for what you're selling. Use Headings, Comments, and Section Headers to make the quote easier to understand. Add Subtotals and Running Subtotals to clarify pricing, and use Percent Charges and Discounts when calculations need to be automated. Finally, use Summary lines when you need to provide additional financial insight without affecting the quote's final total.

Once you understand how these line types work together, you can move beyond simply creating quotes and start designing quote documents that communicate your offering clearly and professionally.
